Privacy Policy

Meeting Treasurer (“Meeting Treasurer,” “we,” “us,” or “our”) provides a bookkeeping tool that helps the treasurer of a group, club, or small organization track money and produce a treasurer’s report. This Privacy Policy explains what information we collect, how we use it, and the choices you have. If you have any questions, email us at support@meetingtreasurer.com.

1. Information we collect

• Account information. When you sign up, we collect your name and email address. If you sign in with Google or Apple, we receive your name and email from that provider — we never receive your provider password. If you use Apple’s “Hide My Email,” we receive a private relay address instead of your real one.
• The records your group enters. Transactions (amounts, dates, funds and categories, notes), balances, fund and group names, and member roles. This is the data the Service exists to manage, and it belongs to your group.
• Forwarded payment emails (optional). If you use the payment-email import feature (currently Venmo), the emails you forward to your group’s ingest address are processed to extract the amount, sender, note, and transaction ID. The parsed result and a copy of the message are stored so you can review and approve it.
• Billing information. If your group subscribes, payments are processed by Stripe. We do not see or store your full card number — we store a Stripe customer/subscription identifier and your subscription status.
• Support and feedback. If you contact us or submit feedback, we keep what you send so we can respond and improve the Service, along with basic context like your browser type and the page you were on when you submitted it.
• Basic technical data. Standard server logs (such as IP address and request time) used to operate and secure the Service.
• Diagnostics. When the app hits an error or crash, we collect technical diagnostic information to find and fix it. Identifying details — email addresses, dollar amounts, and security tokens — are scrubbed before this data leaves your device or our servers, and we don’t attach your identity to it.
• Cookies and local storage. On the web, we use only strictly necessary browser storage and cookies — to keep you signed in, remember basic preferences (such as your active group and language), and for platform security. We do not use tracking, analytics, or advertising cookies.

2. How we use information

We use your information to:

• provide and operate the Service — store your records, build reports, send the email you ask for, and process subscriptions;
• keep the Service secure and prevent abuse (for example, rate-limiting inbound email); and
• respond to your support requests.

We do not sell your data. We do not use your group’s financial records for advertising and we do not share them for marketing. Your records are yours.

3. How information is shared

We share information only with the service providers (“subprocessors”) that make Meeting Treasurer work, and only as needed to run it:

• Supabase — database hosting and authentication
• Cloudflare — application hosting, content delivery, and email routing
• Stripe — subscription payments
• Resend — sending transactional email (such as invitations and notices)
• Sentry — error and crash diagnostics (with identifying details scrubbed)
• Google — sign-in, if you choose to sign in with Google
• Apple — sign-in, if you choose to sign in with Apple

We may also disclose information if required by law, or to protect the rights, safety, and security of our users or the Service.

4. Your choices and rights

• Export. You can export your group’s records as a CSV file at any time — even if a subscription has lapsed. Your records are never held hostage.
• Access and correction. You can view and edit your records directly in the app.
• Deletion. You can delete a group (an automatic CSV backup is generated first), and you can permanently delete your entire account and all of your personal data yourself, in the app, from Settings → Data → Delete account. Deleting your account also removes any group in which you are the only member (and cancels its subscription). If you need help, email support@meetingtreasurer.com.
• Object or restrict. You can ask us to stop or limit certain processing of your personal information.
• Withdraw consent. Where we rely on your consent — such as the optional payment-email import — you can withdraw it at any time, without affecting processing already carried out.
• Complain. If you are in the European Economic Area, the United Kingdom, or Switzerland, you have the right to lodge a complaint with your local data protection authority.

5. Data retention

We keep your information for as long as your account and groups are active, and as needed to provide the Service. When you delete a group or account, we promptly remove the associated records from the live Service. Copies may persist in our encrypted off-site backups, which rotate on a fixed schedule — daily snapshots kept for about 30 days and monthly snapshots for up to 12 months — before being permanently purged. We may also retain limited information where required by law.

6. Security

Data is encrypted in transit (HTTPS). Access to each group’s records is restricted to its members through per-group access controls. No method of storage or transmission is perfectly secure, but we take reasonable measures to protect your information.

7. Children’s privacy

Meeting Treasurer is intended for adults managing a group’s finances. It is not directed to anyone under 18, and we do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, contact us and we will delete it.

8. International users

Meeting Treasurer is operated from the United States. If you use it from elsewhere, your information will be processed in the United States.

If you are in the European Economic Area, the United Kingdom, or Switzerland, this means your personal data is transferred to the United States. We rely on the European Commission’s Standard Contractual Clauses (together with the equivalent United Kingdom and Swiss safeguards) as the legal basis for these transfers, and a number of our subprocessors are additionally self-certified under the EU–U.S. Data Privacy Framework. Each subprocessor listed in Section 3 is engaged under a data processing agreement that includes these protections.

Legal bases (EEA, UK, and Switzerland). Where this applies, we process your personal data to perform our contract with you — providing and operating the Service, including storing your records, building reports, and sending the email you request; on the basis of our legitimate interests in keeping the Service secure and preventing abuse; with your consent, where you choose to use optional features such as the payment-email import; and to comply with our legal obligations.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the “Effective date” above, and significant changes will be reflected on this page.
